Description

The Construction Site Storekeeper / Site Administrator is the custodian of all on-site materials, tools, records, and attendance data for Infinite Rwanda projects. This pivotal role guarantees 100 % inventory accuracy, impeccable store housekeeping, and seamless administrative support. By rigorously controlling receipts and issuances, maintaining real-time Enterprise Resource Planning (ERP) records, and coordinating just-in-time deliveries, the incumbent prevents stock-outs and cost overruns. Simultaneously, they manage workforce check-ins, site access, petty cash, and meeting logistics, ensuring a well-organised, secure, and data-driven site environment that underpins schedule and budget success.

Requirements

Key Duties & Responsibilities

  • Record every material delivery, verify quantities and specifications against purchase orders, generate Goods-Received Notes (GRNs), and enter data into the ERP system on the day of receipt.

  • Store materials safely and systematically, applying clear labelling, segregation by type, and First-In-First-Out (FIFO) / 5S housekeeping standards.

  • Issue and log daily withdrawals and returns of materials, consumables, tools, and plant, obtaining authorised requisition signatures.

  • Monitor stock levels continuously and raise timely replenishment requests to maintain zero stock-outs.

  • Maintain pristine store housekeeping, enforce safety signage, keep Material Safety Data Sheets (MSDS) accessible, and operate lock-and-key or RFID security for high-value items.

  • Conduct weekly and monthly cycle counts, reconcile variances, and submit discrepancy reports to Finance and Procurement.

  • Update and audit the asset register for tools, equipment, and Personal Protective Equipment (PPE), flagging calibration or replacement due dates.

  • Log daily workforce attendance using digital check-in apps; compile timesheets for payroll processing.

  • Control site access lists for staff, subcontractors, visitors, and suppliers; issue visitor badges and ensure safety inductions are completed.

  • Administer site office functions, filing, correspondence, petty-cash disbursement, and stationery inventory, ensuring smooth clerical operations.

  • Coordinate meetings (toolbox talks, progress briefings), prepare agendas, and take accurate minutes for distribution within 24 hours.

  • Generate daily and weekly dashboards summarising inventory movements, consumption rates, and attendance metrics for Site Management.

  • Support Procurement by tracking supplier lead times, expediting delayed deliveries, and updating the delivery schedule.

  • Support Health, Safety & Environment (HSE) by maintaining up-to-date PPE issuance logs and ensuring safety data sheets are displayed.

  • Provide clerical support during site audits, inspections, or reporting sessions

  • Propose and implement continuous-improvement initiatives such as barcode/RFID tagging, mobile inventory apps, or streamlined 5S layouts to boost accuracy and efficiency.

Typical Daily Tasks

  • Check and receive scheduled material deliveries

  • Update inventory and log issued materials/tools

  • Record worker check-ins and attendance summaries

  • Assist site engineers with document documentation, scanning, and updates

  • Monitor material usage and report low-stock items

  • Maintain order and cleanliness in the store and site

  • Prepare and submit daily inventory or attendance reports

Required Qualifications & Experience

  • Diploma in Supply-Chain, Logistics, Business Administration, or related field (preferred).

  • Minimum 3 years’ experience in construction site stores or inventory control, with at least 1 year in an administrative capacity.

  • Certification in inventory management (e.g., CIPS Level 3, APICS CPIM) is advantageous.

  • Proficient in ERP or inventory modules and advanced spreadsheet skills.

  • Demonstrated knowledge of ISO 9001 quality procedures and basic ISO 45001 safety requirements.

Reporting Line

  • Reports to: Materials & Logistics Coordinator (site level) and dotted line to Site Manager or Site Engineer.

  • Coordinates With: Site Foreman, Procurement Team, Subcontractors, Laborers, and Safety Officer

  • Digital inventory ledger

  • Daily issuance & return log

  • Workforce attendance sheet

  • Monthly stock and variance report

  • PPE register and issuance log

  • Meeting minutes and petty-cash voucher file

Working Conditions / Location


Based full-time at the construction site store and adjacent site office; frequent outdoor exposure, heavy-lifting zones, and variable weather. Mandatory use of PPE (helmet, safety shoes, hi-vis vest, gloves). Standard workweek with occasional extended hours or weekend shifts to receive critical deliveries or perform month-end counts.
